3 Steps to a Bulletproof Data Destruction Policy
1. REMOVE ALL OLD HARD DRIVES FROM TO BE DISPOSED OF COMPUTERS
You can not properly track or protect a hard drive when it’s left inside of a to be disposed of computer
- Segregate all old hard drive from to be disposed of old PCs, laptops and servers.
- Inventory all loose hard drive by manufacturer serial number. Identifying the computer the hard drive came out of is a recommended practice. We provide preprinted bar code labels that should be placed on each hard drive and added to its inventory record. This initiates your chain of possession records.
- Isolate the hard drive in such a manner as to prevent unauthorized removal from the hard drive disposal process. We provide secure collection/transport containers with locks and security tags.
2. DESTROY RECORDED DATA ON THE HARD DRIVE ACCORDING TO THE NATIONAL INSTITUTE OF STANDARDS AND TECHNOLOGY (NIST) PUBLICATION 800-88 “GUIDELINES FOR MEDIA SANITIZATION”
These guidelines have replaced the old DOD/NSA guidelines and are regularly referenced in new data privacy laws as the require
data destruction standard. Degaussing and the shredding of a hard drive is recognized by NIST as the very best methods for
destroying data on hard drive. We perform onsite degaussing and then transport the hard drive to our NAID AAA certified
secure hard drive destruction facility to be shred providing redundant data destruction protection.
3. MAINTAIN DETAILED AUDITIABLE RECORDS OF YOUR ENTIRE HARD DRIVE DESTRUCTION PROCESS.
Government data privacy regulations require that you have a written process in place to destroy sensitive
data, but you are also required to be able to prove that you routinely follow your own procedures.
Our bar code tracking system and secure handling practices provides a chain of possession audit trail
from your facility all the way through the final physical destruction of the hard drive.
Digital records are provide to you at the end of each project and also stored in our web-based archive “Compliance Library”.
